Admin Assistant Job


MAJOR RESPONSIBILITIES/ACCOUNTABILITIES:

- Provide day-to-day administrative support to the VPs.
- Extensive schedule management including global appointments, calls, WebEx/Telepresence meetings; liaising with global counterparts regularly.
- Arrange and coordinate travel itineraries.
- Manage sensitive information/tasks efficiently and accurately, maintaining confidentiality.
- Collate and distribute reports/documentation such as month end reports or business presentations as necessary.
- Organize on and off-site internal and customer meetings. This includes planning, coordinating, and communicating information to delegates as required, as well as overall event management.
- Help coordinate and support onsite US office visits for customers, partners, and/or Thomson Reuters representatives.
- Establish strong relationships with third-party providers and other suppliers used by the finance organization.
- Obtain necessary authorization for payment of invoices, and execute same.
- Additional duties as assigned.

Qualifications

- 5+ years' executive-level, administrative experience necessary; demonstrated track record of success as an Executive Assistant, supporting senior level managers within a corporate environment. Previous experience supporting a C-levels strongly preferred.
- High level of PC proficiency with excellent Microsoft Office skills (Word, Excel, PowerPoint, Outlook).
- Strong technological acumen and a proven ability to adapt to and manage new and evolving business technologies. (Teleconference, Telepresence, Web Ex, Expense Reporting, Travel systems, etc.)
- Exemplary telephone and email etiquette.
- Ability to multi-task and to effectively set priorities, with a high level of comfort in dealing in fast-changing environments.
- High level of initiative, self motivation and creativity.
- Excellent oral and written communications.
- Commitment to Company core values, vision and goals.
- Ability to work collaboratively with peers and colleagues.
- Strong organizational skills and disciplined with regard to policy, procedure and standards.
- Ability to work overtime and outside of regular business hours as needed.
- Healthcare Admin Experience
- Bachelors or Masters Degree in Computer Science or comparable work experience in related field
